Minimum Qualifications:

  • Bachelor's degree in business administration from a recognized university.
  • Minimum of 5 years of experience in the Gulf states.
  • Proficiency in the English language (Speaking, Reading, and Writing).

Minimum Work Experience:

  • 6 years of work experience in a refinery or petrochemical oil and gas plant.
  • Working experience with SAP (PM/MM) and MS Office.
  • Strong understanding of safety requirements and the ability to apply safe work practices during scheduling.
  • Exceptional coordination skills, a positive attitude, and strong interpersonal skills.

Key Responsibilities:

As our Administrative Professional, you'll be at the heart of our engineering services department, ensuring smooth day-to-day operations. Your key responsibilities will include:

  1. Meeting Coordination: Efficiently organize and coordinate meetings as requested by management, ensuring that schedules are well-managed.

  2. Appointment Scheduling: Handle the scheduling and coordination of appointments, meetings, and conferences, making sure everything runs smoothly.

  3. Training and Leave Coordination: Monitor and coordinate training requirements, seminars, and annual leave for department staff.

  4. Report Preparation: Prepare weekly reports and other necessary reports for departmental and management meetings.

  5. Document Management: Handle the preparation of official documents both within the department and for external stakeholders as requested.

  6. IT Support: Be the point of contact for IT requests from all Engineering Service Department (ESD) team members, ensuring their technical needs are met.

  7. Logistics Coordination: Arrange necessary communications for visa arrangements, transportation, gate passes, and official document renewals.

  8. Record Keeping: Maintain accurate records of departmental office files in accordance with internal procedures.

  9. Document Signatures: Facilitate the signing of departmental documents, ensuring timely approvals.

  10. Task Prioritization: Capably prioritize tasks, handle multitasking efficiently, and manage your time effectively.

  11. Language Proficiency: Demonstrate proficiency in both spoken and written English.
